The Challenge
A large Grand Rapids based manufacturing
company (name withheld due to privacy) needed to automate their
document storage and retrieval system. They sought out and chose
TRS to automate the storage, indexing and retrieval of their
documents.
Current System
Prior to the conversion, when an engineer
needed a document, they had to request it from clerical staff.
The clerical staff would use a manual system to locate the file,
and either call the engineer to come pick it up or deliver it by
courier. This sometimes took days. Documents were often
difficult to find. The manpower costs for retrievals were high
and premium office space was used to store these documents.
Solution and Process
Total Records Solutions had the answer. The
solution lied in our high speed imaging system, our Windows
based software and our highly trained technical staff. Because
TRS is also based in Grand Rapids, implementing the document
conversion project was that much easier. TRS came on board,
assisted with purging of files, and brought the boxed files to
our secured storage facility. Within a short period of time the
files were prepped, scanned, indexed and CDs delivered back to
the company. Because of our method of purging files and our
retrieval system, we were able to assure the company of constant
access to these documents while in the conversion process.
Results
With their documents now located as images on a
central computer with an indexing and retrieval system, the
engineers have access to these time-critical documents within
seconds. No more waiting days or paying clerks and couriers to
find and deliver files. The company as a whole has benefited:
